Quality review begins with a precise product description. PanPan Aroma discusses document requirements with brand customers and partner manufacturers for the items under consideration. Document availability and testing scope vary by product and project. Ask what can be supplied for your selected item, and verify the version, issuer and sample or batch it covers before relying on it.
Different documents answer different questions
A specification defines acceptance criteria. A certificate of analysis reports results against stated criteria for an identified sample or batch. An SDS addresses hazards, handling, storage and related safety information. A GC/MS report can describe a volatile chemical profile for an identified sample, but requires appropriate interpretation.
For a fragrance composition, an IFRA conformity document and allergen information may be relevant to the intended application. For a finished cosmetic, the project may require a different evidence package. A certificate or test report on one item should never be assumed to cover every product in a supplier's range.
Confirm identity and traceability
Request product name, internal code or specification version, and relevant batch details. For botanical oils, clarify botanical identity, plant part, extraction method and origin information. Check that the sample, quotation and document package refer to the same material.
If your brief requires an organic claim, management system certificate or other certification, request the actual current evidence and check its named entity, scope and applicable products. We do not use an unrelated report, registration record or historical result as a blanket quality claim.
Agree the review before committing
Include document requirements in your initial inquiry. We can discuss what is available, what needs confirmation and whether additional testing or review should be included in the project. Final requirements should be recorded with the approved specification and order terms.
Evaluate samples for your own application and market. Your brand's product classification, label, claims and launch obligations need their own review. The purpose of this page is to help you request appropriate evidence; it does not promise that every document type is already available for every item.
